How the Vendor Report Feature Works
Managing Vendor Labels
-
Navigate to Retain → Vendor Reports.
-
Review the vendor cards automatically populated from Retain activity.
Vendor labels only appear when thevendorfield is included in your TrustedForm Retain requests. In LeadConduit, source names are mapped to thevendorfield by default, so that data is sent automatically with your Retain requests. -
Click Manage or Link Partner on any vendor card.
-
Choose one of the connection options:
- Invite a new partner by entering their email address.
- Link an existing partner if you’re already connected through the ActiveProspect platform.
-
Review the connection status displayed on the vendor card:
- Linked
- Invite Pending
- Invite Expired
- Not Linked
-
If needed, unlink the partner and relink them to the appropriate vendor label.
Expected Result:
Connected vendor labels will clearly display their status, helping you organize vendor relationships for better transparency and future reporting.
Generating a Vendor Report
Once a vendor label is linked to a partner account, you can generate a vendor-level report at any time.
- Navigate to Retain → Vendor Reports.
- Find a vendor card with a Linked status.
- Click Generate Report.
- Choose a date range for the report. The report end date is limited to recent completed data to ensure accuracy.
- Click Generate.
Expected Result:
The report will open automatically once it is ready.
Understanding Vendor Report Metrics
Vendor Reports provide high-level context as well as detailed lead quality metrics derived from TrustedForm certificate data.
Summary Metrics
- Certificates Retained – The total number of TrustedForm certificates retained for this vendor during the selected date range.
- Total Lead Origins – The number of unique sources where leads originated during the selected timeframe.
- Lead Origin Types – The number of distinct origin categories represented (such as websites, mobile apps, or lead ads).
Lead Quality Metrics
Vendor Reports now include expanded lead quality indicators to provide deeper insight into your leads, including:
- Indicators related to bot activity
- Consent visibility indicators
- Copy/paste behavior
- Time on page
- Geographic consistency
These metrics help provide context into lead activity patterns and support more informed conversations with vendors.
Important Notes
Vendor Associations
TrustedForm does not validate whether the vendor label you choose actually belongs to the partner account you link it to.
Because of this:
- You may link a vendor label to the wrong partner.
- If that happens, you can immediately unlink and relink it to the correct partner. All previously generated reports for that vendor label become inaccessible to the unlinked partner.
This ensures you maintain full control over vendor associations while allowing flexibility if corrections are needed.
Viewing Past Reports
From a vendor card, click Manage → View Reports to see all reports previously generated for that vendor label.
Access & Security
- Vendor Reports are access-controlled.
- Only the buyer who generated the report and the vendor the report was generated for can view it.
- Users must be logged in to an ActiveProspect account to access a report URL.
To share a report:
- Open the Vendor Report you want to share.
- Copy the report URL from your browser’s address bar and send it to the vendor.
Best Practices
- Always include the
vendorfield in all TrustedForm Retain requests. - Regularly check for expired invites and resend as needed.
- Update incorrect associations quickly using the unlink/relink workflow.
- Link vendors before generating reports to avoid workflow interruptions.
- Use reports as collaborative tools—share insights with vendors early.
- Periodically review historical reports to track vendor trends.
Troubleshooting
| Symptom / Error | Likely Cause | Resolution |

| Cannot generate a report | Vendor label is not linked to a partner | Link the vendor label to a partner account first |
| Vendor cannot access a report | Vendor was not linked to the vendor label when the report was generated | Link the vendor to the correct vendor label, generate a new report, and share it with the vendor |
