How Billing Works

ActiveProspect Online (self-service) accounts use transactional billing model, meaning:

  1. As you process leads or perform other billable actions, funds are drawn from your wallet balance near real-time (updated every 5 minutes).
  2. At the start of each billing period, your wallet is topped up to a required deposit amount.
  3. At the end of the billing period, usage is finalized and taxes are applied.
  4. Auto-recharge is required to maintain an active account.

Step-by-Step Instructions

1. Understand Your Wallet Balance

  • Goal: Know how funds are stored, spent, and displayed.
  • Your wallet holds the funds used to pay for transactions.
  • You can:
    1. View your current balance.
    2. Add money manually at any time.
  • Taxes are applied at the end of the billing period.

Expected Result: You always know how much balance is available to process usage transactions.


2. Understand Your Billing Period

  • Goal: Know when charges and resets occur.
  • Your billing period begins when you create a new account with paid features or upgrade to using paid features.
  • Billing periods are monthly.
  • You can see your next billing date on the billing overview page:

3. Understand the Monthly Minimum

  • Goal: Ensure you understand the monthly minimum requirement for your account.
  • Accounts with paid features enabled have a monthly minimum of $10.
  • If you have not used $10 at the end of the billing period, your wallet will be drawn down to meet the requirement.

4. Understand Deposit Requirements

  • Goal: Ensure your account always has sufficient funds.
  • At the start of each billing period, your wallet is automatically topped up to $10.
  • If your wallet balance is equal to or greater than $10 at the end of the billing, no additional charge will be made at the beginning of the period.

Expected Result: Your wallet starts each billing period fully funded.


5. Configure Auto-Recharge

  • Goal: Prevent downtime caused by a zero balance.
  • Auto-recharge is required for all self-service accounts using paid features.
  • Auto-recharge automatically tops up your wallet balance to a specified amount when it drops below a specified threshold.
  • You can configure:
    1. Threshold balance
    2. Recharge target amount

Expected Result: Your wallet automatically replenishes, ensuring uninterrupted service.


6. Review Your Activity

  • Goal: See exactly what you spent and where.

  • The Activity tab shows:

    1. Cumulative transactions
    2. Total spend
    3. Spend trends
    4. Breakdown by transaction type
  • Activity updates twice daily (midnight and noon UTC).

Expected Result: You have a complete view of all usage-based charges.


7. Manage Your Payment Method

  • Goal: Keep your card up-to-date so payments succeed.

To update your card:

  1. Log in at account.activeprospect.com
  2. Go to Billing → Wallet
  3. Use the menu to edit or replace your card

8. Make a One-Time Manual Payment (Optional)

  • You can make a manual payment at any time.
  • Manual payments immediately increase your wallet balance.

  • Taxes are applied at the end of each billing period.
